June 2016 Booster Club Meeting Minutes
PRESIDENT’S REPORT AND ANNOUNCEMENTS - Amy Hopper
Amy called the meeting to order at 9:09am and thanked everybody for coming. We have a new President for the 2016-2017: Morina Lichstein, and Beth Price will be President Elect! We took a vote on the new slate of volunteers. 5th graders will culminate on Friday, 6/10 and we need volunteers for the Culmination Brunch. 4th grade parents traditionally volunteer, but nobody has stepped up yet. A message will be sent out to the 4th grade room parents to help-they need at least 4 people.
PRINCIPAL’S REPORT – Nicole Sheard
Thank you for all of your hard work throughout the year and the parent involvement at the school is really admirable. Astro Camp was successful, testing went by without a hitch and Olympics Day happened-it’s been a busy few weeks. Ms. Zarin K. will be our new 1st grade teacher at Canyon (since Ms. Cook is moving away and Ms. Pfau is moving to 4th grade) and she was Ms. Lim’s aide last year and subbed for Mrs. Lamb while she was on maternity last year also.
GOVERNING COUNCIL REPORT – Julie Silliman
Elections are on-there are 4 vacancies and 5 candidates-ballots are open for 1 week (1 vote per e-mail). Big thank you to Julie Silliman for all of her hard work and dedication to Canyon-she will be missed! Morina mentioned that she will be adding a Community Relations Coordinator position and will be asking Julie for her input.
TREASURER’S REPORT & BUDGET – Kikka Hanazawa
Kikka thanked everybody who was a chair of a fundraiser and the annual giving chairs. We met every fundraising budget that we had this year.
Beth acknowledged people individually for all of their involvement with Large Events. We will be restoring the athletic field. Next year, we will have a budget (set more conservatively) and a higher goal (a little bit higher than the budget and we will aim towards that). Big thank you to Elissa Robins and Kikka who revamped the website/Shopify which has really streamlined the process for donating to the school. Thanks to Vesa, for initiating the stock donation program.
ANNUAL GIVING UPDATE – Deb Tractenberg
Our goal was $330,000 and we are now over $340,000. On last Tuesday alone we raised approx. $10,000. We are almost at 80% participation (we’ll be there next week). A Donor Tracking Database has also been created. There is a “wall” on the website that lists families who have donated. Next year, additional information about Annual Giving will be given out in the Beginning of the Year school packets. Kikka and Deb want to create a video next year, “What a Day would be like without Booster Support.” We have many talented parents at Canyon who could make that happen.
Morina will be making a speech at Back to School Night (9/1/16). She will also pass out a 5X7 “one sheet” with all pertinent dates listed throughout the school year.
The “ask” for next year’s AG is still being decided.
AUCTION/FIESTA/OLYMPICS DAY UPDATE – Amy & Kikka
We hit all of our goals!! For Olympics Day, we are short a few thousand dollars and donations are still coming in.
RECRUITMENT FOR NEXT ACADEMIC YEAR/VOLUNTEER FAIR/CALENDAR UPDATE
The Volunteer Fair will be moved to the Spring. The Fair will also happen at Back to School night and at the new Mandatory Safety Meetings that will be held by Nicole at the beginning of the year. E-Commerce needs help! The Director of Enrichment position is being eliminated and going back to Governing Council. We also need a Legal Counsel Volunteer.
Olympics Day will be moved to the Fall (right before Thanksgiving). There will be only one Book Fair next year (Fall). Saturday, 10/8 will be adults only Party Book (off campus 1962 Brit Mod party at the Cock & Bull Pub), then Pumpkin Patch, right before Halloween then Olympics Day. Then after break, Auction will have a Procurement committee. Talent Show auditions will be in January 2017 and the Talent Show will be in February 2017. Jump Rope for Heart will be in February, then Fiesta will be on 5/21/17. So in the Spring, there will only be 3 events-Jump Rope for Heart, Auction/Fiesta and Talent Show.
The Volunteer Slate for next year is forthcoming but all of the positions have been filled!
